Information for Intel NWSE Volunteers other than Judges

The registration site contains a list of volunteer jobs at the Intel Northwest Science Expo. It does not contain any for the regional fairs. It takes hundreds of volunteers to put on this event and we are grateful for everyone that can help. If you are interested in volunteering at a Regional Fair please contact the fair director. Their contact information is on the Regional Fairs Information page.

On the online registration site, we ask for your volunteer availability during the two days of the science fair as well as prefair availability. Instead of signing up for specific jobs, we ask you to tell us the type of job you are interested in. The two types needed on fair day are 'Brain' and 'Brawn'. Below are tables defining the types of jobs.

Our volunteer coordinator, Gretchen See, will email you your assignment and give you any other information you may need by March 5th. If you have questions please contact her at nwsevolunteer@affiliatedfairs.com

If you have problems with the registration site please contact Stephanie Jones at nwse@pdx.edu. If you can include the page you were on, the browser you are using and a copy of an error message, we will be able to fix the problems sooner.

Prefair Jobs Description Date Time
Scientific Review Committee Scientific Review Committee meeting. Review student registration materials for compliance with rules. Tuesday, February 13

3:00pm-7:00pm
Minimum of 2 hours

Calligrapher Complete student award certificates. Feb. 9 - March 13 As available - 2-3 hours total needed
Paperwork Check Initial check-off of project registration paperwork. Feb. 14 - March 6 As available. Minimum of 3 hours
Packet Assembly Assemble paperwork into school registration and judge packets. March 5 -12 As available Minimum of 2 hours
Brain Jobs Description Date
Registration Table Greet students and teachers; distribute registration information and direct students to exhibit area. Answer questions. Thursday, March 13
Middle School Safety Check Check student exhibits for compliance with display and safety rules. There will be training and detailed instructions provided. Thursday, March 13
High School Safety Check Check student exhibits for compliance with display and safety rules. There will be training and detailed instructions provided. Friday, March 14
Registration Table Greet students and teachers; distribute registration information and direct students to exhibit area. Answer questions. Friday, March 14
General Help on Friday Morning assistance in lobby and the exhibit area. Be available to do whatever is needed. Answer questions. Friday, March 14
Judge Assistant Greet judges. Distribute information. Help as needed. Breakfast and Lunch set up and cleanup. Friday, March 14
Calligrapher Complete student award certificates. Friday, March 14
Data Entry Enter award results into database. Friday, March 14

Brawn Jobs Description Date
Fair Setup Setup tables and chairs for judges and students. Hang signs. Distribute materials to each exhibit. Thursday, March 13
General Help on Thursday Assistance on the floor during setup. Be available to do whatever is needed. Assist students/teachers with finding their exhibit spaces and in understanding the safety check process. Answer questions. Thursday, March 13
General Help on Friday Morning assistance in lobby and the exhibit area. Be available to do whatever is needed. Answer questions. Friday, March 14
Security Be a security presence during public viewing hours in exhibit area. Watch for the unauthorized removal of equipment. Friday, March 14
Awards Ceremony Setup Layout awards for presentation. Decorate. Friday, March 14
Awards Ceremony Usher. Greet invited guests, sponsors. Distribute awards on stage. Direct students to the stage. Collect information from award winners. Friday, March 14
CLEAN UP CREW Pack up tables, chairs, remove signs, etc. Friday, March 14
